This policy covers PALS Accounting, internal software operated by PALS solely for its own bookkeeping. The application has no external users and no public sign-up. It serves one organisation: PALS.
Through Intuit's QuickBooks Online API, and only within the single QuickBooks company that PALS owns:
It does not access data belonging to any other QuickBooks company.
The data is used exclusively to prepare PALS's own books and financial reports for review by PALS staff. It is not used for any other purpose.
The application runs on PALS-controlled equipment. Data in transit to and from Intuit is protected by TLS. API credentials and access tokens are stored in a local file readable only by the operating account, are excluded from version control, and are never transmitted anywhere except to Intuit for authentication.
Accounting records are retained in QuickBooks Online under PALS's ordinary records-retention practice and applicable Illinois and federal requirements. Working copies held by the application are retained only as long as needed to prepare an entry or report, and access tokens are discarded when the connection is revoked.
The application handles financial records. It is not used to collect or process information about the children enrolled at PALS beyond the billing information already present in PALS's accounting records, and it is not directed at children.
PALS may revoke the application's access at any time from within QuickBooks Online, which invalidates its tokens immediately.
Material changes to this policy will be reflected in the “last updated” date above.
